Therapy Adventures is a family-owned pediatric speech, feeding, and occupational therapy practice in Dripping Springs, Texas. We are seeking a friendly, dependable, and highly organized receptionist to serve as the first point of contact for the children and families we support.
This role is essential to creating a welcoming office experience and keeping daily clinic operations running smoothly.
Position Overview
The Front Office/Administrative Assistant is responsible for front-desk coverage, family communication, scheduling, patient intake, check-in, and general office organization. The ideal candidate is warm and professional, communicates clearly, handles competing priorities calmly, and enjoys working in a busy, family-centered environment.
Medical office experience is preferred, but applicants with strong experience in customer service, reception, scheduling, or a similar administrative role are encouraged to apply.
Key Responsibilities
Greet children, caregivers, visitors, and team members in a friendly and professional manner
Answer incoming phone calls and respond to general office messages
Schedule, reschedule, and cancel appointments accurately
Communicate scheduling updates, therapist absences, and other appointment changes to families
Manage appointment reminders and follow up as needed
Check patients in for appointments
Support new patient intake and explain general next steps to families
Communicate professionally with prospective and current families by phone, email, text, and in person
Keep the reception area organized, welcoming, and stocked with necessary materials
Support therapists and administrative team members with routine office needs
Protect patient confidentiality and follow HIPAA and clinic privacy procedures
Qualifications
Required
Previous experience in customer service, reception, scheduling, or a similar public-facing role
Friendly, professional, and patient communication style
Strong organizational skills and attention to detail
Ability to multitask and shift priorities in a busy environment
Dependable attendance and punctuality
Comfortable using computers, scheduling systems, email, and office technology
Ability to handle confidential information appropriately
Ability to remain calm and helpful when families are frustrated, confused, or managing schedule changes
Preferred
Previous medical, therapy, dental, or healthcare office experience
Experience working with children and families
Schedule
This position can be a shared part-time or single full-time position. Office hours are Monday - Friday 8am-6pm.
